File Delivery & Production Policy
This policy explains when digital files are delivered, which formats may be supplied, what clients should check before production, and how machine, fabric, stabilizer and resizing requirements can affect the final result.
Quick Answer
Most standard-ready embroidery digitizing and vector orders are delivered within 4–24 hours after payment and all job details are confirmed. Complex artwork, large placements, multiple versions, unclear instructions, rush queues or revision requests may require additional time. Digital files should be tested before full production.
When the delivery time begins
Delivery timing begins after the quote is approved, payment is confirmed, and final artwork, size, placement, garment or product type, required format, known colors, complete instructions and confirmed order scope are received. Delayed client responses, missing information, artwork changes or approval delays may pause or extend the workflow. The deadline for an individual order should be confirmed before production begins.
Standard 4–24 hour delivery
Most standard-ready orders are completed within 4–24 hours. The specific delivery time depends on complexity, placement, number of files, artwork quality and the current production queue. This is a standard delivery window, not an unconditional guarantee. Complex, large, multi-file, correction-heavy, unclear or rush orders may require additional time.
Supported embroidery formats
DST, PES, EXP, JEF and VP3 are commonly available; other formats may be supplied when confirmed before work begins. Availability depends on the order. A machine format does not guarantee identical results on every machine, so provide the machine model or required format where relevant. DST does not normally store actual thread-color names; a color chart or production sheet may be supplied separately.
Supported vector and artwork formats
AI, EPS, SVG, PDF, PNG and JPG may be used or supplied where appropriate, including print-ready artwork when included in the approved quote. Editable native working files are included only when specified in the agreed service.
Digital files only
Standard Digitizing provides digital embroidery machine files and vector artwork. Physical garments, hats, patches or finished embroidered products are not shipped unless a separate written agreement explicitly states otherwise.
Test sewout responsibility
A digital preview is not a physical sewout. Test the file on comparable fabric with the intended thread, needle, stabilizer and machine setup before full production. Machine tension, speed, hooping, backing and fabric affect results. Eligible file-related concerns within the agreed scope receive revision support.
Resizing policy
Minor size adjustments up to 0.5 inch may be free where technically safe. Large resizing can affect density, stitch length, satin width, underlay and small text and may require re-digitizing. A left-chest file should not automatically become a jacket-back file, and a flat-garment file should not automatically be reused on a cap.
Delivery method and file backup
Files are normally delivered electronically through email, a download link or an approved client communication channel. Contact john@thestandarddigitizing.com.
Delivered production files may be retained for up to 6 months to support repeat orders and minor file requests. Clients should keep their own permanent backups; permanent storage is not guaranteed.
Possible delays
Missing information, poor source artwork, delayed approval, large or complex jobs, multiple sizes or formats, new artwork changes, technical rebuilding, a high production queue, or rush work requiring separate confirmation may extend delivery.
